Hi : I'm trying to determine whether Groupsite is the best solution for my client - a small magazine that doesn't yet have an online community associated with its web site. One big concern = the security of information entered by users. Do all the user details (email address, name, etc.) belong exclusively to us? Or are they property of the CollectiveX network? Where can I learn more about your privacy policy?

Anni - We take privacy very seriously. 80% of our Groupsites are private, professional, invite-only groups and 100% of te information within any Groupsite (public or private) belongs to the group, not CollectiveX.
Here is the full text of our privacy policy - I welcome any questions or feedback you may have.
CollectiveX is a group communication and networking platform. This policy describes the types of personal and/or group information we may collect and how we use it to provide the CollectiveX.com ("CollectiveX") service. The information that we collect is used to improve the content of our Web pages and the quality of our service and is not shared with or sold to other organizations for commercial purposes, except to provide products or services under the terms of this agreement.
Note: There are minor provisions of this privacy policy that do not apply to groups that have selected the "removal of advertisements" premium option. These provisions will be proceeded with an (*).
By using CollectiveX, you agree to the collection and use of your personal and/or group information as described in this policy. You should know:
To comply with the Children's Online Privacy Protection Act, CollectiveX is only available to users who are at least 13 years old. If you are under 13, please do not use the CollectiveX service.
What types of personal information do we collect and how do we use it?
Account information. When you register with CollectiveX, we will request some personal information, including your first and last name, email address, and password to create your account. Your password will be maintained on our system in an encrypted form.
Email. CollectiveX will send to the primary email address specified in your CollectiveX profile a monthly Groupsites-related newsletter. You may unsubscribe from this newsletter by writing to news@collectivex.com with UNSUBSCRIBE in the subject line or using the opt-out URL provided in every newsletter.
Groupsite Managers of Groupsites Pro accounts may also notify CollectiveX if they wish their Groupsite members' addresses to be collectively suppressed from our newsletter distribution. Such requests can be made in writing to: news@collectivex.com and will not apply to Groupsite members that are also members of any other Groupsite.
CollectiveX may occasionally contact pending Groupsite members with invitations to join your group by e-mail. Pending members are individuals who have not responded (with either a negative or affirmative response) to membership invitations extended by Groupsite managers and/or members. Invitations extended by CollectiveX to pending members will clearly identify CollectiveX, the name of the relevant Groupsite, the name of the person who invited them and an email opt-out option.
CollectiveX may also distribute periodic updates regarding the CollectiveX service to group managers. These administrative messages are considered part of your CollectiveX account service and group managers may not opt-out of receiving them.
Group data and contents and usage. The contents of your CollectiveX account are stored and maintained on CollectiveX servers in order to provide the service. Because we keep back-up copies of data for the purposes of recovery from errors or system failure, residual copies of group contents may remain on our systems for some time, even after you have deleted information or after the termination of your account. CollectiveX employees do not access the content of any accounts unless you specifically request them to do so (for example, if you are having technical difficulties accessing your account) or if required by law, to maintain our system, or to protect CollectiveX or the public.
We also may collect information about the use of your account, such as how much bandwidth you are using, how often you log in and other information related to your use of CollectiveX. Information displayed or clicked on in your CollectiveX account (including user interface elements, links, and other information) is also recorded. We use this information internally to deliver the best possible service to you, such as improving the CollectiveX user experience.
Cookies & log information
Cookies. A cookie is a small data file that is sent to your computer when you first visit a website. As with most website cookies, our cookies include an identification number that is unique to the computer you are using. This identifier helps us better understand our user base and how they are using our site and services.
When you visit CollectiveX and create a CollectiveX account, we set and access cookies on your computer. We use cookies for a number of reasons, such as recognizing you when you visit the site, displaying the site according to your chosen user settings for language, and maintaining the security of your account. We may also use the cookies to collect aggregated information about the use of CollectiveX to maintain, analyze and improve the service. If you set your browser so that it refuses cookies, you will not be able to use the CollectiveX service. CollectiveX uses collected information for the following general purposes: products and services provision, billing, identification and authentication, services improvement, contract, and research. CollectiveX lets other companies that show advertisements of some of our pages set and access their cookies on your computer. Other companies" use of their cookies is subject to their own privacy policies, not this one. Advertisers do not have access to CollectiveX cookies.
Transfer of information
We reserve the right to transfer your personal information in the event of a transfer of ownership of CollectiveX, such as acquisition by or merger with another company. In such an event, CollectiveX will notify you before information is transferred and becomes subject to a different privacy policy.
Updating your information
Groupsite Managers: You can change your CollectiveX Groupsite account settings at any time in the "Manager" section of yourGroupsite. You can terminate your account at any time, by following simple instructions located in the "Upgrade Groupsite" sub-tab within the "Manager" section of yourGroupsite. You should be aware, however, that residual copies of information may remain stored on our systems even after the deletion of information or the termination of your account.
All Users: You can change your CollectiveX User account settings at any time from within the "My Profile" section of Groupsite(s) in which you participate. You can terminate your membership in and remove your profile information from a Groupsite at any time by going to the "My Settings" tab and selecting the "Remove me from this Groupsite" link. You should be aware, however, that residual copies of information may remain stored on our systems even after the deletion of information or the termination of your membership within a Groupsite. You can remove yourself from any Groupsite and still have an active account on the CollectiveX platform (providing you ability to remain in, join or create other Groupsites).
Images of your Groupsite or profile in marketing materials
CollectiveX reserves the right to include images of your Groupsite's header graphic or overview Summary page on the CollectiveX website or in other marketing materials for demonstration and promotional purposes. We also may display additional pages from public and semi-public Groupsites. For Public Groupsites, this includes the possibility of displaying an image of your Professional or Social member profile, including your photograph. CollectiveX will take care to present images in a professional manner and without compromising the character of the Groupsite.
You may specifically request in writing that we not use images of your profile page in this manner by sending a request via email to news@collectivex.com with the text REMOVE FROM MARKETING MATERIALS in the subject line. You may also submit your written request to:

Groupsite Managers may also specifically request in writing that CollectiveX not use images of their Groupsite's header graphic or pages in this manner by contacting us using either of the above described methods.
Changes
CollectiveX may periodically update this policy. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your CollectiveX profile or by placing a prominent notice on our site.

Could you please update this stat or confirm it's still accurate?
Two more questions:
1. What is CollectiveX?
2. Do you have any sample/recommended Privacy Policies we can use/modify to suit our particular Groupsite?

I'm going to caution you when reading the posts in the Champion's Groupsite. Pay special attention to the date of the posts as things may have changed.

To answer your specific questions, the stats are still fairly accurate... give or take a few percentage points: " 80% of our Groupsites are private, professional, invite-only groups".
Additionally, before you or your members register for a Groupsite.com user account or signup to join a
group, you must read and agree to the Groupsite.com Terms of Service. Only "Enterprise Clients" are offered the option to use a Custom Terms of Service, which has been approved by Groupsite.com.
