Deleting a Sub Group on the new platform | 1 | 0 | 102
How Can I Delete Subgroups? | 1 | 0 | 1717
Send an email to invite members to a sub-group | 1 | 0 | 1688 |
I haven't seen my question answered yet (from April 20), and I have another question.
I just noticed that on our main Groupsite Discussions page, there was a new forum entitled *blank* Discussions, where *blank* was the name of a new subgroup I created. Is that only visible to members of said subgroup, or does everyone see that? If it's the latter, why does the Groupsite create an automatic discussion forum for a subgroup that is created? My reason for creating a subgroup is to have a private forum for members of that subgroup. Also, I could see no other way to remove that forum except to delete the subgroup.
Hi - how does one categorize a sub-group? If it was part of setup I must have missed it. When I look at my list of subgroups it says they are all uncategorized. I was able to choose a category for my main group - or at least choose a "group type" which I assume is the same thing? I look forward to your clarification.
Thanks -
Bill
William - Here's a post that shows you how to categorize subgroups: http://champions.collectivex.com/post/how-to-categorize-subgroups-in-a-groupsite
Hope that help,
Shaun
I would like to be able to feature blog postings from a public subgroup on my summary page so that even non-members of the public subgroup can see it. The system doesn't seem to allow me to do this, although any member of my groupsite can visit the public group and read the blog entry there, even if they're not a member of that subgroup. Can this be done? Thanks.
A question was raised (and answered) about how to categorize a sub-group.
My question is - what's the current benefit of categorizing a sub-group?
Thanks!! I did a search in the faqs and could not find anything - you might want to place something there. It's a bit hard to find this but once I did it worked!
Bill
How does a subgroup invite members? Can they invite new members to sign up? How many emails can you send in one blast?
Craig
Craig - Here is a post that explains subgroup invites: invites: http://champions.collectivex.com/post/how-to-invite-to-subgroups
We do not place a limit on how many email blasts you can send to your existing members. We do limit how many you can send to pending members. We do not publish these limits. You will know if you are sending too many by the feedback you receive.
We allow more for those groups that have engaged members who welcome the communication and we throttle those who have an extraordinary number of declined invites, bounced email addresses or if the number of pending invites grossly exceeds the number of accepted invites.
Hope that helps,
Shaun
Ok, so I changed what I originally wrote because I understood what you all were thinkings.
So let me change it to this, is there a way to A - Limit people who are not in your particular subgroup from seeing more than a name on the memers information. My concern is, people in one subgroup are from one aspect of the company, and people on the other side are the guest and i dont necessarily want guest to be able to see the VP email and phone number, etc...
B - say someone wanders out of there subgroup and into the groupsite and post something that is not really for all to see, is there a way to prevent that?
Thanks
Jeremy - The way to solve this problem is to simply great another Groupsite.
Here is our premise behind how Subgroups relate to Groupsites: Everyone is a member of the Groupsite first. This implies that they have a purpose and desire to communicate share and network with other members of the Groupsite. That is why we decided to make the Member Profile information visible to all Groupsite Members.
We added subgroups because we found that over time, larger groups (greater than 100 members) often develop needs to have seperate areas for certain (but not all) activities that are more specialized in nature (perhaps a planning committdee or project workteam).
That being said, if a user finds that they are spending 99% of their time in the subgroup only, then the subgroup is probably a good candidate for being recreated as its own Groupsite.
Under this scenario, the user can belong to more than one Groupsite and can easily use the "Switch Groupsites" function at the top right of each Groupsite page to switch between their various groups.
Many of our Groupsite Pro customers use us exactly this way and that is why they pay us an annual per user fee which allows them to build unlimited (ad-free) Groupsites so they can create as many discreet collaboration sanctuaries as they wish.
Hope that helps,
Shaun
The subgroup invitation issue is proving to be quite a challenge. Members of the main group say they have not received the subgroup invitation. When I try to send them another invite, I see a message that says that I can't invite people who are already in the mix. I can't figure out how to end the impasse.
Please advise.
Thanks.
Joan -
Sorry for any difficulty. Here are a few things that may help:
1) When inviting people to subgroups, there's an important distinction between inviting non-Groupsite members vs. existing Groupsite members. Inviting both of these types of individuals takes place from the "Invite Members" area of your subgroup, but there are 2 different buttons for doing so. You may want to double-check to be sure you are inviting existing members from your subgroup's "Invite Members > Groupsite Members" area.
It looks like this:
2) When you invite existing Groupsite members to a subgroup, they receive a notification of their invite via pop-up window (and not through email). To see whether or not they've received their invitation, ask your subgroup members to log-in to your Groupsite. Or, if they are already logged-in, to navigate to a new Groupsite page, which will trigger the pop-up box to display.
3) We do limit managers' ability to re-invite subgroup members to prevent email abuse. This restriction may sometimes get in the way of legitimate needs, such as re-inviting a member who has accidentally declined their subgroup invitation. In this case, you may want to try the following:
this setting will allow any Group Member to also join that subgroup. In these cases, simply ask the invitee to visit your subgroup and request to join. They can do so by clicking on the "Join now!" link on the subgroup's home page .
Temporarily change your subgroup's membership setting from "Limited" or "Private" to "Public." This action will allow the "Join now!" link to appear on your subgroup's home page. Leave this setting on just long enough for the invitee or declined member to visit your subgroup and join. Once they are in the subgroup, you can change the subgroup's visibility settings back to "Limited" or "Private."
You can change your subgroup's Visiblity settings using the "Visibility" drop-down menu in the Administrative area of your subgroup.
4) Lastly, if you have invited members from "Invite Members > Groupsite Members" area of your subgroup, and they still aren't receiving notification of their invitation, please write to us at support@collectivex.com so we can look into what may be happening.
In general, we are also looking into our subgroups invitations process to make them easier to use, especially for cases where a member has accidentally declined.
Hope this helps! Please also don't hesitate to contact me directly.
In searching the FAQs on subgroups, I did not find an answer to this question. It appears, as manager of my subgroup, I do not have the ability to edit/delete discussions, as I am able to in my main Groupsite. Is this a bug?
Liza - As a Groupsite manager, you should have the ability to edit/delete anything including subgroup content. I cannot re-create your problem. Can you send me a screen shot of what you are seeing? All of my subgroups are behaving will and, as a manager I see an edit topic or edit reply link under each post. Do you not see that in yours?
Shaun
Liza - I stand corrected. I just did a little more research and we do have a design flaw that needs to be fixed. If you are a member of the subgroup, as a manager you can edit and delete. But if you are a Groupsite manager but not a member of a particular subgroup you do not see the edit links in the subgroup discussions. This is a mistake, not a bug. We forgot to do it. Sorry for the trouble but thanks for pointing it out.
