This is a great feature and certainly one I am interested in utilizing. I am curious if you have permission controls over the ability to assign subgroup access to only certain members. Here is my scenario that I am considering. I manage a usergroup for a software company, but would like to create subgroups for specific beta products and testing mockups but only want certain users to have access to that beta test subgroup. Primarily becuase Beta products are confidential, we need to make sure that only those users who have submitted an NDA have access.


Again, great feature and think this distinguishes CollectiveX from other forum sites.

Can settings be different for a subgroup than for the main group? Here's what I want: in the main group, I want only managers to be able to send mail blasts to the group, but in a particular subgroup (our board members), I'd like anybody to be able to send a blast. If this is possible, how is it done? If it's not currently possible, could it be added?

I am glad to see the subgroups option--thanks.  It appears the only way to populate a subgroup is to invite members.  I would like to move members into subgroups myself.  Is this possible?  My Groupsite is for alumni and current students from an MBA Program.  I'd like to have a subgroup for alumni and then a subgroup for current students.  It would be great if I could just move members into the right subgroup without waiting for each member to respond--if they respond.


My next question deals with moving members among subgroups.  When current students become alumni, can I move them to the alumni group?

Hopefully this will answer many of the questions posed above.


Subgroups can be public, limited or private.


Public (subgroups) = anyone can join and they are visible in the subgroup directory within the groupsite;


Limited (subgroups) = are always by invitation only and are also visible within the subgroup directory within the groupsite (note: non-members of a limited subgroup are able to see the subgroup's homepage and can email the subgroup's admins to request access)


Private (subgroups) = are always by invitation only and are NOT visible within the subgroups directory within the groupsite (note: members that have been invited into a private subgroup are able to access all subgroups that they belong to (including private ones) via their My Subgroups tab.

Inviting members into subgroups:


Existing Groupsite Members can be invited into a subgroup easily from within the invite members area of subgroups by clicking the 'Groupsite Members' button at the top of the Invite Members page. From that page, you are able to scroll through a list of current Groupsite members and select multiple members by holding down your 'ctrl' or 'apple' key while clicking on each members name. The invited member will not recieve an email, but will be prompted with a pop-up the next time they visit the Groupsite asking them to accept of decline the invitation to the subgroup.  


Non-Existing Groupsite Members can be invited into a subgroup from the invite members area of subgroups, the invite members area defaults to the invite non-members form page. New members can be invited into the subgroup, but must first join the overall Groupsite. Upon joining the Groupsite, they will be prompted with the join subgroup via pop-up message. (Note: Invite premissions for subgroups follow the overall invite new members permission settings for Groupsites. Hence, if you do not have premissions to invite non-Groupsite members into the Groupsite, you will not have permission to invite them into a subgroup within.)

Free Subgroups Limitations:


Free subgroups include the full functionality of subgroups but limit the creation to only 5 subgroups and only enable Groupsite managers to create subgroups. The unlimited subgroups upgrade enables the creation of unlimited subgroups and allows permissions to be set so that all members can create subgroups enabling communities to self-organize.

As of now, sub group settings (permissions) mirror the settings of the main Groupsite. So it is not possible to allow members to send email blasts within a subgroup without allowing them to send email blasts within the main Groupsite.  We will address this soon. I am sure you are not the only user that would like the option for different permissions within subgroups.  Would it solve your problem if we allowed subgroup administrators (not subgroup members) to send email blasts within the subgroups that they administer? Or do you require that all members of a subgroup be able to send email blasts? 


 


 

Well, for the way we're using this, no that really wouldn't be good. Our main group is anyone involved with our chorus, and for the sake of limiting the # of e-mails, we want to limit blasts to managers only. But the subgroup is our Board Members, and sometimes a lot of our business is e-mailing back and forth, and it would be necessary for anyone on the Board to be able to blast everyone else. I'd love to see that feature added!


But I am thrilled to have the new functionality!

Is this in place of the tagging feature for which we've been waiting so long?

Subgroups do provide some of the capabilities that permission tagging would have enabled. We do still intend to implement a permission tagging feature or suitable alternative at some point in the future. 

Once a subgroup is created, can we delete it? Will those subgroup members still be in the overall group?

Sally - Yes you can delete a subgroup and No, the members of the subgroup will not be deleted from the Groupsite.


Remember, in order to join a subgroup, you must first become a member of the overall Groupsite.


To delete a subgroup:


1. Go to that subgroup's Home Page.


2. Select the "subgroup" admin link which is to the far right of the subgroup navigation bar (beneath the MY SETTINGS tab)


3. Select the "Delete Subgroup" button at the top right of the page


4. Hit "OK" when we ask "are you sure?"

Today I had a group member join a subgroup and the system somehow added her twice. Very strange.


There are only four members in the group, and only four people show up in the member profile section.  However on the subgroup main page, it says there are five members and shows one members' picture twice.


Any ideas on how this happened, or how to fix it? My idea was to delete her from the subgroup and then re-invite her, which leads me to my next question...


How do you delete a member from a subgroup?

BTW, We finally got our group up and running a week ago, so I'm sure there will be more questions in the future. But I do love the way the modules work. It's better than you promised!

Hmmm - very strange.  We will take a look into how that happened.  In the meanwhile, here's a quick video showing how to delete members from a subgroup.  You may want to delete her and try again.
