New: Full-text searching of the File Cabinet

We are pleased to announce another small, but useful improvement to CollectiveX.


Files in the file cabinet that have recognizable text content are now searchable based on the text portions of their content.  For now, up to 2 megabytes of text per file is searchable.


This includes (but is not limited to):



  • Text files

  • Microsoft Office documents (Word, Excel, Powerpoint)

  • RTF (rich text format)

  • CSV (comma-separated)

  • EML (exported email)

  • HTML and XML

  • PDF and Postscript

  • Archive files (ZIP, GZ, BZ2, TAR) containing files with text content

  • Any other file recognizable by the system as having text content


You can search for files from the main (summary) page, or directly from the file cabinet.

Also, the recent activity log will now display some of the file's description (if provided) when you upload a new file.  Thanks goes to Joost van der Leij for suggesting that.

That's great to know! Makes CollectiveX more useful for communities of practice and other loose collaborations.

Is this feature still current? It does not seem to be working on our Groupsite.

Thank you for your feedback!  I am going to respond here as well as in a related post by you:


We have disabled certain areas of our site from searching because we are in the process of redoing search. Here is what we know about search today:

Regarding profiles:

* Search locates members' profiles when searching on a phone number or email address.
* Search does not return any results when searching on terms from within the members' "Bio" section

Regarding File Descriptions and File Content:

* Searching works reliably when selecting terms from the "File Descriptions."

Search returns results for the correct files, tested under both the "File Cabinet" and "Everything" filters.

There is currently a lag time for only newly added files or a file you just edited. This does not affect existing files that were not just edited. The lag time could be anywhere from minutes to up to 24 hours depending on the background jobs that are being processed on our site such as recent activity updates etc. You also could experience no lag time at all which is usually the case.

Search works correctly both when terms were entered with all lowercase and lowercase/uppercase mixed

Search does not return any results when searching on content from within documents.

Other areas of the site such as the summary page and discussions still pose a problem.
