RSVPs and the Groupsite Calendar

The Groupsite calendar allows for RSVPs.  Here's how it works.

1. Click on the SHARE tab which defaults to the calendar section of your Groupsite.

2. Click the small plus sign next to the date for your event.

3. On the "New Event" page you can add all of the details of your event including choosing to allow RSVPs. You have 3 choices here:

- YES - this allows Groupsite members to RSVP at the Groupsite

- NO - use this when no RSVP is needed (such as adding Groundhog's Day to the calendar)

- ON A SEPARATE WEBSITE - Choosing this option allows you enter in the web address of another website where people can RSVP.  This is great for letting Groupsite members now about events outside of the group.

4. After completing this page, simply hit SUBMIT. Your event will appear on the shared calendar.

5. If your are a Groupsite manager, or if the Groupsite Manager allows all users to send email blasts, you will now have the option to send an RSVP invite to the group which will send an email to their inbox with a description of the event and a link to RSVP.

6. Clicking the "Send an RSVP invite to the group" link opens the WYSIWYG editor where you can customize your invite then hit SEND. All Groupsite members will receive their invite email (unless they've opted out from receiving these).

If you are a Groupsite manager, you can also opt to send this RSVP invite to pending members by checking the "send to pending members" checkbox before hitting SEND. Pending members will receive an email invite but must join the Groupsite before they can RSVP to the event.

Here's what a RSVP invite will look like in their email:

7. Groupsite members can now RSVP (by clicking the appropriate link on the RSVP invite or directly from the Groupsite calendar) and leave comments about the event. You can even export the RSVP list.

Note: you will not see the "+" sign on your calendar to add an event 1) if you are in your network "View All Mode,"  or 2) if group members don't have permission to add calendar events, as determined by your Groupsite manager(s).

I would like to occasionally add an event that is only for a select few people. Can I send out an invite to certain people only or do I have to invite everyone in the group? For example, I use Groupsites for film/video production. I make subgroups for each project (film) and invite the cast and crew that are only a part of that film. I enter important events like the "shoot date" in which everyone is invited...but I also need to add "producers meetings" which are only for the producers, and "cast" meetings which are only for the cast members, etc.

Is there a way to do that?

Is there a way to set up a reminder email to be sent later? For example, if I set up an event for two months from now, but don't want to send the event yet. I'd like to set it up to invite two weeks prior and then send a reminder a day or two before the event.
