Membership Removals - Procedure & Policy

I thought it might be helpful to discuss how to best handle membership removals from your group. If this has already happened to you as group owner/manager,  I'm sure you can relate to some of the potential challenges involved.

After a recent experience, I realized I would need a Procedure & Policy statement regarding membership removals, so I drafted one up and have it posted now on my "Help & User Tips" forum under the topic title "Membership Removals". Of course removals could occur to small, medium or large size groups, and you never know when it might "hit" you, so it's best to let new members know your policy in advance and be prepared at all times.


Below is a copy of my current draft using "XYZ Forum" in place of my real group name.  Please read it over an feel free to make any comments or suggestions as to the general concept and wording.

Membership Removals - Procedure & Policy


If XYZ Forum members get removed for any reason, all their data and posts will get removed and purged from our forum database, and they won't have further access to participate in the forum.


Membership removal may occur when members request to be removed or if the management deems it necessary to remove members for any number of "good cause" reasons. Typically such reasons may include: spamming, off-topic posts, poor fit with core purpose of group, distruptive behavior, excessive self-promotion, related abuse and complaint feedbacks, etc.


Disclaimer:
Please note: Once a memember is removed by the administration, all data including profile, topic posts and related replies are also removed and purged from the forum and Groupsite database. The only info left will be a member's personal notes or topics they have saved (i.e. copied & pasted) to other applications, and private emails they've recieved to their own inbox from other group members. Therefore it is each member's responsbility to save and/or back up their important topic notes, email messages and related data. This is wise to do anyway in case of a system crash which could result in some unexpected data loss.

Keep in mind that when a member is removed, you will need to send an email to CollectiveX support asking them to purge the member's account. Though their bio profile will be instantly removed, currently we have to remove their topic posts manually. As a suggestion, in the future this could be a new Groupsite feature which allows optional removal of all topic posts and related replies for any given removed member.
